Approval and mandatory checks for football club media teams
Matchday discipline, every day of the week.
From training photos to the press release, every daily task moves through fixed stages. Copy that gives away tactics, or work with a check still open, cannot go to approval. Nothing is marked as published until a manager signs it off.

01 Leaks
Most leaks are a single sentence.
“We start Saturday in a 4-4-2.”
“The starting eleven was settled in training.”
A well-meant training update can end up in the opposition's match preparation. Club Media scans copy the moment it is saved: formations, line-ups, injuries and suspensions, rotation, set pieces, pressing and plans against the opponent. Risky phrases are flagged and the task cannot be sent for approval.
The rule-based scan never works alone. A colleague who did not write the copy, and an AI review, both have to read it before the gate opens.

02 Daily work
Four tasks open themselves every morning.
Press release, training report, training photos and video, reels. Who owns each one, which stage it has reached and how long is left before the deadline sits in front of the whole team. Two hours before a deadline the team is reminded; if a task runs late, managers hear about it too.
A day's flow · default times
- 06:00The day's tasks open
- 16:00Training report
- 17:00Press release
- 18:00Training photos / video
- 19:00Reels
- 21:00Unfinished work reported to managers
Times shown are defaults; the opening and end-of-day times are set per installation. On a day without reels, the reason is written down and another manager signs it off.
03 Stage by stage
No skipping steps.
Each stage is closed by the person assigned to that role. The next step stays locked until the previous one is done, and a note is required where it matters. Who did what, and when, goes into the task history.
Example · Training photos / video
- 01Training shoot doneTwo people must be assigned to the shoot.
- 02Edits doneClosed by the person in the editor role.
- 03Files uploadedJPG, PNG, WebP, MP4, MOV, WebM. The file type is read from the content, not the name; the same file cannot be added to a task twice.
- 04Images taggedEvery photo is tagged with players, foot, ball, angle, shot size and activity.
The life of a task
- 1Draft
- 2In progress
- 3Review
- 4Awaiting approval
- 5Approved
- 6Published
If a manager is not satisfied, the task goes back as Revision requested; the team fixes it, notes what changed and runs the checks again.
04 Mandatory checks
No green light until every check passes.
The “Send for approval” button stays locked until every mandatory check has passed, and it says exactly what is missing. The decision is made on the server, not in the browser.
| Check | What it looks at | Source |
|---|---|---|
| Tactical intelligence | Formations, line-ups, injuries, suspensions, rotation, set pieces and plans against the opponent. Text is normalised first, so look-alike letters and mixed alphabets do not slip through. | Rule |
| Player overlap | In external posts a player appears in no more than one image. Images going only to the players' group are exempt. | Rule |
| Visual variety | Measures sameness across foot, ball, angle, shot size and activity, and catches runs of the same kind of image. | Rule |
| Channel and format | Does the channel accept this format? TikTok takes only video and reels, press releases go only to the WhatsApp channel and the website, X is capped at 280 characters. | Rule |
| Human review | Whoever wrote, shot or edited the content cannot approve their own work. The four-eyes rule is enforced on the server. | Human |
| AI text and image review | Runs automatically, or the result is entered by hand. A negative result cannot be overwritten by a later “clean” entry. | AI |
Change the content, redo the check. If the copy or files change after a check, that check runs again.
A failure cannot be waived. Only a warning can be accepted, in writing, by a manager who did not work on the task.

05 Manager approval
If you have not approved it, it is not published.
Club Media does not connect to social media. Your team does the posting, but no posting record can be entered for work that has not been approved.

You see what you are approving
Copy, photos and video, channels, every check and who recorded it, the spread of players and earlier decisions, all on one screen.
Revisions come with reasons
At least one reason is selected and a note is written; a single photo, the copy or one check can get its own note. The team sees it at the top of the task.
Approval does not cover later edits
If the copy, files or channels change after approval, the approval drops and the task goes back through checks and approval.
Contributors cannot approve
A manager with a role, a file or copy on a task cannot decide on it; another manager does.
Closed with proof
For every approved channel and format, a link or proof is recorded. Once all are in, the task is marked Published; approved work that has not been posted is listed separately.
06 Audit and access
Who approved what, and when?
Chained audit log
Sign-ins, uploads, submissions, approvals, revisions and posting records: every action is written to a log, each entry linked to the one before it by a hash. An admin verifies the chain with one button; if a record is altered, deleted or slipped in, verification shows where it broke.

Licensed, device-approved access
The system runs only on a licensed installation. Every new account waits for admin approval, and so does the first sign-in from a new device; a device that looks suspicious is suspended automatically. When someone leaves and their account is closed, their sessions and devices are revoked with it.
Alerts and deadlines
Approval requests, revisions, approaching and missed deadlines, approvals left waiting. Alerts arrive in the browser and on Telegram, and you set the order in which managers are notified about work awaiting approval.
07 Plain terms
What it does not do.
- It does not create content. Your team writes and shoots; the system enforces how the work gets done.
- It does not post for you. It has no access to your social accounts; the team posts and records the proof.
- It does not recognise players in images. The team tags them, and the player and variety checks rely on those tags.
- The tactical scan is rule-based. It cannot catch every indirect phrasing, which is exactly why human and AI review are mandatory.
- The interface is in Turkish today. So is the built-in tactical dictionary; club-specific terms can be added to it.
